QuickBooks’ native invoice importer expects every line item to carry its invoice number, customer, invoice date, due date, and item amount. Product/Service also matters when you want the line to resolve to an existing item instead of relying on a generic fallback.

Invoice number and customer

Invoice number groups line items into the intended invoice. Customer should match the customer identity you expect QuickBooks to use. For multi-line invoices, repeat both values on every row.

Dates and amount

Map the source invoice date to Invoice date, the payment deadline to Due date, and the line value to Item amount. Keep the date format consistent throughout the file and select that format during QuickBooks’ mapping step.

Item(Product/Service)

Map the source service column to Item(Product/Service). When categories and subcategories are in use, the QuickBooks Community guidance uses Flowers:Roses:Interpreting as a complete hierarchy example.

Batch limits

Intuit currently documents at most 1,000 rows and 100 invoices per imported spreadsheet. If a prepared CSV exceeds either destination limit, split the upload batch before importing even though the browser-local mapper can process a larger source file.
