QuickBooks Online lets you map uploaded CSV headers to invoice fields, but the source file still needs a predictable structure. Start with the columns you actually have, then map their meaning instead of renaming by guesswork.

Use a concrete source-to-target map

For the example export, use bill_no → Invoice number, client → Customer, invoice_date → Invoice date, due → Due date, amount → Item amount, and service → Item(Product/Service). If one invoice has several line items, repeat the invoice number and the other required invoice values on each line.

Treat Product/Service as an exact QuickBooks value

A QuickBooks Team reply shows that category hierarchy is written as category:subcategory:product/service. Their example for an Interpreting service is Flowers:Roses:Interpreting. If your account does not use categories, use the Product/Service name that exists in QuickBooks.

Keep mapping separate from accounting rules

This step changes column identity and order. It does not create customers or products, validate tax configuration, or upload invoices to QuickBooks. Review the downloaded header row before import.
