Common QuickBooks Journal Entry CSV Import Errors
QuickBooks CSV import error on a journal entry file? Fix unbalanced journals, invalid dates, account-name problems, and amount errors before you import.
When QuickBooks Online rejects a journal-entry CSV, the import error almost always comes from a small set of repeatable reasons: a required value is missing, the date format is inconsistent, an account path is malformed, an amount is not usable, or a journal does not balance.
Error checklist
| Problem | What to check |
|---|---|
| Missing required field | Journal No., Journal Date, and Account Name must be present on each row. |
| Invalid date | Use a real calendar date and one consistent source date convention. |
| Line Account Invalid | For a subaccount, include Parent account: Sub Account rather than only the child name. |
| Both debit and credit | A single line should post its amount to one side. |
| No debit or credit | Supply an accounting amount on one side of the line. |
| Unbalanced journal | For each Journal No., total Debits must equal total Credits. |
| Ragged CSV row | The row should contain the same number of CSV fields as the header. |
Diagnose the journal number first
When QuickBooks reports a balance problem, group the rows by Journal No. Do not rely on the whole file balancing in aggregate: one journal can be over-debited while another is over-credited by the same amount.

That journal is short by 5.00 on the credit side even if another entry elsewhere in the file happens to offset it.
Check account hierarchy syntax
For subaccounts, QuickBooks expects the parent path as part of the Account Name. Expenses: Merchant Fees is structurally valid; Expenses: : Merchant Fees has an empty hierarchy segment and should be corrected before import.
Validate before uploading
The QuickBooks Journal Entry CSV Preparer runs these checks locally and keeps the download disabled until the preflight passes. After a successful preflight, it reuses the streaming CSV mapper to produce the exact six-column output without uploading the accounting file to Nablyx.
If the source CSV itself has broken quoting, inconsistent delimiters, or uneven rows, repair that structure first with the CSV cleaner, then run the QuickBooks preflight again.
