A legal-production PDF should be reviewed as a new disclosure artifact, not as a file that is safe merely because black boxes are visible on the page. A useful workflow separates finding candidates, deciding what must be removed, creating a destructive redaction, and checking the finished file.

A five-pass production review

    Confirm the production scope

    Know which pages and categories are in scope before you start. Keep the original production PDF unchanged and work on a copy.

    Run the configured pattern scan

    Enable the identifiers relevant to the matter and add any matter-specific account, policy, or case-number regular expressions.

  3. 03

    Review every proposed rectangle

    A pattern match is only a candidate. Open the page, confirm the context, resize the region if needed, and remove false positives.

  4. 04

    Perform a manual page review

    Look for names, addresses, signatures, privileged material, scanned content, handwriting, and other sensitive information that a regular expression cannot understand.

    Create and verify the final copy

    Apply destructive redaction, remove the hidden-data classes you do not intend to disclose, open the result, and perform your normal production QA before sending it.

What the pattern pass is good at

The built-in scan is intentionally narrow. It looks for common structured identifiers: U.S. Social Security numbers, EINs, U.S. phone numbers, email addresses, payment-card-like numbers that pass a Luhn check, and U.S.-style dates of birth. Custom regular expressions can cover a matter number or another structured identifier.

That makes pattern detection useful as a repeatable first pass. It is not a substitute for document knowledge or legal review.

What still needs human review

Regular expressions do not know whether a person's name is a minor, whether a paragraph is privileged, whether an address is sensitive in the applicable proceeding, or whether an image contains a handwritten identifier. A PDF can also contain scanned pages without an extractable text layer.

Review the page images as well as the detection list. If the source contains scans, unusual fonts, fragmented text, or material whose sensitivity depends on context, assume that manual inspection is required.

Hidden data belongs in the checklist

Visible text is only one part of a PDF. Metadata, embedded files, comments, widgets, destinations, structure tags, and earlier revisions can carry information outside the visible page.

The redaction workspace can remove selected hidden-data classes while rebuilding the output. Read the result warnings: tagged-PDF accessibility structure and digital signatures can be affected by destructive redaction.

Verify the output, not just the preview

After export, open the finished PDF in a separate viewer. Search for identifiers you intended to remove, inspect every redacted page, and confirm that the copy you are about to disclose is the rebuilt output rather than the original.
